Presenters Guidelines

Paper presenters share their research output and knowledge through presentations at the Congress sessions.. In order to help you present your paper effectively at a Congress session, we would like to draw your attention to the following points:

  1. Once the paper/ poster is accepted and scheduled for presentation, the conference organizing committee will get in touch will presenters and inform them of the date and time of their scheduled presentation.
  2. Paper presenters are advised to send their presentation by no later than January 25th, 2012 to allows organizers to ensure that the presentation is compatible with the hardware and software used for the session. Presentation may be submitted through the online system.
  3. In line with international best practice, organizing committee requires the use of MS- PowerPoint slides for oral presentations. Each paper session room will be equipped with a data-show machine, a computer desktop and other IT facilities needed for an effective electronic presentation. All presentations will be available on the computer desktop of the room if it has been sent in advance.
  4. In the case of Poster Presentations, kindly ensure you bring in your poster on the first day of the congress, which is the 30th of January, 2012 and hand it to the information desk.
  5. On the day of your presentation, please arrive at your session room at least 15 minutes before the session is scheduled to start.
  6. In case a presentation is co-authored and more than one presenter will be presenting the paper, the author/s must inform the chair at the beginning of the session.
  7. Every stream normally consists of 4 or 5 thematically-linked papers. Each presentation is allocated 15 minutes for the presentation followed by 1-3 minutes of Q&A session.
  8. Presenters are kindly required to abide by the allocated time for their presentations in order to avoid any inconvenience which may affect the next presenter. The Chair/Co-Chair of the session will manage the time and signal the remaining time when 5, 3 and 1 minutes are left. Please help the session chair by adhering to the time allocated to you for presentation.
  9. After your presentation, you should be prepared to respond to questions posed by the audience and the chair/co-chair of your session. Be aware of the limited time in the session and offer precise responses.
  10. All papers accepted by the Technical Committee will be evaluated by a jury for the Best Paper & Best Presentation awards. Papers authored by Hamdan bin Mohammed e-University’s full-time faculty and staff are not eligible for the awards. Eligible candidates for the award(s) must be both the first author and the presenting author.
  11. Only those papers that are presented during the Congress are eligible for inclusion in the conference proceedings and for consideration to the awards.
  12. All presenters are advised to verify that their full names and affiliations are correctly written on their papers in line with their badges as the ‘Certificate of Participation’ will include the same names.
  13. Presenters are expected to complete their registration to the respective conference no later than the 15th of January.
